Getting started

Setup takes an afternoon; new mailboxes then take about nine days to warm up to full volume at the default settings.

  1. Create your workspace. While SalesScope is invite-only, request early access; when your invite arrives, sign up with the address it was sent to and choose Just me for a workspace of your own, or My team / organization to add an admin console for people, roles and sending policy. Every new company starts with a 14-day free trial, no card needed.
  2. Connect your mailboxes. In Mailboxes, choose Connect a mailbox. For a Gmail or Google Workspace address, choose Google Workspace, which covers Gmail addresses too, and on Google’s screen allow both “Send email on your behalf” and “View your email messages and settings”: SalesScope needs the first to send and the second to see replies and bounces. For an Outlook.com, Hotmail, Live or Microsoft 365 address, choose Microsoft 365 and accept Microsoft’s permission screen, which asks to “Send mail as you” and for “Read and write access to your mail”: SalesScope saves each email as a draft, sends it, and reads the replies and bounces. If Microsoft says an admin has to approve the app, ask your Microsoft 365 admin. Other providers connect with Custom SMTP. Then check your domain’s SPF, DKIM and DMARC.
  3. Import your contacts. In Contacts, choose Import and upload a CSV or tab-separated file (save an Excel sheet as CSV first), then map its columns. You can also paste rows straight from a spreadsheet. Duplicates are detected as the rows come in. More on the sales CRM sheet.
  4. Let the warm-up ramp run. A new mailbox starts at 20 emails a day by default and grows about 30% a day until it levels off at 200. Mailboxes shows what each one can still send today, and why. Read email warm-up for the reasoning.
  5. Build a sequence. In Campaigns, choose New sequence and add email steps, which follow up in the same thread, plus call and task steps. Set the sending window and time zone, and fix any missing merge fields or spam-word warnings before you launch. How to follow up on a cold email helps with timing.
  6. Validate the audience. Press Validate emails on the sheet, or the Validate button a sequence shows when addresses haven’t been checked. Nothing unchecked is enrolled. See email verification.
  7. Work the dialer and Today. Press Dialer on the sheet to call through a queue and log each outcome with one key. Today lists the calls, follow-ups, meetings and tasks due, overdue first. See the sales dialer.

Troubleshooting

A mailbox disconnected or lost permission to send

Reconnect to send means the provider refused the mailbox permission to send, usually because a box was unticked on Google’s permission screen, or access was removed in the Google or Microsoft account. SalesScope still reads its replies and bounces, and emails waiting on it keep their place. Needs reconnect means the mailbox’s access expired or was revoked, so it can neither send nor sync until it is reconnected.

In both cases, open Mailboxes, select the mailbox, press Reconnect and allow both mail permissions on Google’s or Microsoft’s screen. For an SMTP mailbox whose password changed, connect it again with Custom SMTP, using the same address and the new password.

“Sending is paused until…”: the provider said wait

When Gmail or Microsoft stops a mailbox for reaching its sending limit, or tells it to wait, SalesScope holds the mailbox until the lock lifts and shows when sending resumes. Nothing is lost: waiting emails keep their place, any email the provider refused is sent again, and the pause lifts on its own. Automated sending already stops short of each mailbox’s daily ceiling, but SalesScope can only count what it sends itself, so heavy sending from the same mailbox in other apps can still trip the limit. See Gmail sending limits.

Microsoft 365 sending limits

Microsoft allows each Microsoft 365 mailbox up to 10,000 recipients a day, but the limit cold email runs into first is the tenant external recipient rate limit: one daily allowance for mail to addresses outside your organization, shared by everyone in it and scaled to its license count. SalesScope can’t see what the rest of your organization sends, so a new Microsoft 365 mailbox’s daily limit is set to 500, and SalesScope warns before you raise it past 2,000; the warm-up ramp still applies below that. Before you do, ask your Microsoft 365 admin to check the organization’s limit in the Tenant Outbound External Recipients report, under Reports › Mail flow in the Exchange admin center. An Outlook.com mailbox is held to 300 a day. Gmail sending limits compares Microsoft’s published limits with Google’s.

A sequence paused by the bounce breaker

A notice that a mailbox “was paused for excessive bounces” means its bounce rate over the past week passed your company’s limit: 5% by default, judged only after 50 sends. The mailbox is held, every sequence sending from it is paused, and its owner was emailed. Press Validate on the sequence to check every address still waiting, then resume it; invalid addresses are suppressed rather than mailed. Before adding more contacts from the same source, find out where the list came from, because a list that bounced once is likely to bounce again. Admins set the limit in the sending policy, and email list verification explains what to look for.

“Addresses not validated yet”

A sequence won’t enroll or send to addresses nobody has checked, and it says how many are waiting, for example “120 of the 400 addresses waiting have never been validated. Nothing goes to them until they are.” Press the Validate button beside the message. Checks run in the background, contacts join as soon as their addresses pass, and an address whose domain’s DNS didn’t answer is retried automatically. The checks cover the address and its domain, not the mailbox itself, so an address can pass and still bounce if that mailbox no longer exists.

SPF, DKIM or DMARC warnings

SalesScope reads the DNS records of every domain your mailboxes send from. Missing or Failing means receivers will see the problem too: no record, a record they reject, or one that lets no server send. Can’t confirm means the setup may be right in a way DNS doesn’t show from outside, such as a DKIM selector your admin chose. A DMARC policy of p=none shows as a warning, not a failure. For Google Workspace, SalesScope looks for include:_spf.google.com in a single SPF record that needs no more than ten DNS lookups, and for a DKIM key at the google selector; for Microsoft 365, for include:spf.protection.outlook.com and for DKIM keys at the selector1 and selector2 selectors. Domains such as gmail.com and outlook.com aren’t checked, because their records belong to the provider. The SPF, DKIM and DMARC guide walks through each fix.

Replies not appearing for an SMTP mailbox

This is expected. SMTP mailboxes send, but SalesScope doesn’t sync replies from them, so a reply lands only in that mailbox’s own inbox. It won’t appear in the SalesScope Inbox, and it won’t stop the contact’s sequence. If the address is on Gmail or Google Workspace, connect it with Google sign-in instead, and if it is on Outlook.com or Microsoft 365, with Microsoft sign-in through the Microsoft 365 option, so replies, bounces and auto-replies are read automatically. Otherwise, watch that mailbox yourself, and when someone replies, open Queue, select their next email and press Pause. More on the unified inbox.

Account and billing

The free trial

Every new company gets 14 days free, with no card needed: 2 mailboxes, up to 25,000 contacts in one workspace, and up to 100 emails a day per mailbox. If the trial ends before you choose a plan, sending pauses until you do. Nothing is deleted.

Plans

Solo is US$19 a month for one person. Team is US$39 per person a month. Company is US$69 per person a month, billed from 10 seats, with a workspace for each team or client. A year costs ten months, and prices are before tax. Pricing lists what each plan includes.

Invoices, cards and plan changes

Admins open Billing and press Manage billing to reach Stripe’s billing portal, where you update the card, download invoices, change billing details or cancel. Plan changes happen on the Billing page: an upgrade is charged straight away, prorated, and takes effect once paid; a downgrade becomes a credit on your next invoices; switching between monthly and yearly keeps your renewal date. A plan smaller than what you already use isn’t offered, because nothing is deleted to fit a plan.

Cancelling

Cancel any time from the billing portal. Your plan runs to the end of the period you have paid for; after that, sending pauses, but nothing is deleted. The refund policy explains when a refund applies.

Failed payments

If a payment fails, a 7-day grace period starts while Stripe retries, and everything keeps working; update the card under Manage billing to settle it. After 7 days the account is locked: sending pauses and nothing new can be added, but nothing is deleted, and everything resumes once the payment goes through.

Paying in rupees

Companies in India can pay in rupees: ₹999 a month for Solo, ₹1,999 per person for Team and ₹3,499 per person for Company, before GST. Indian cards work with RBI e-mandates, and your tax ID is collected at checkout.

Data and privacy requests

Your contacts are yours to take with you: press Export on the sheet to download them as CSV, unless your company has switched exporting off. To ask what personal data we hold about you, or to have it corrected or deleted, write to privacy@salesscope.io from the address on the account. To close an account and have all its data deleted, cancel the plan, then write to support@salesscope.io; it is deleted within 30 days. For a countersigned copy of the data processing addendum, write to legal@salesscope.io. The privacy policy explains what we collect and why, and the subprocessor list names who handles it.

If you received an email sent through SalesScope and want no more, use its unsubscribe link or reply asking to be removed. That stops every sequence to you in the sender’s workspace, at every address they hold for you.

Reporting abuse

If you received spam or abusive email sent through SalesScope, forward it with its full headers to abuse@salesscope.io. We look into every report under our acceptable use policy. Security vulnerabilities go to security@salesscope.io instead; see security at SalesScope.

FAQ

Frequently asked questions

How do I contact SalesScope support?

Email support@salesscope.io from the address on your account, and we aim to reply within one business day. For plans and larger teams, write to sales@salesscope.io.

Why is my mailbox sending fewer emails than I expected?

Each mailbox shows one number for what it can still send today and the reason that limits it: the warm-up ramp, the provider’s ceiling, a daily cap your admin set for you, the mailbox’s own limit or a hold from the provider. During the free trial each mailbox sends up to 100 emails a day.

Can I connect Outlook or Microsoft 365?

Yes. In Mailboxes, choose Connect a mailbox, then Microsoft 365, and sign in with Microsoft. The same option covers personal Outlook.com, Hotmail and Live addresses. SalesScope sends through Microsoft Graph and reads the mailbox for replies, bounces and auto-replies, as it does for Gmail. A Microsoft 365 mailbox’s daily limit starts at 500 and an Outlook.com mailbox is held to 300, with the warm-up ramp applying to both.

Why didn’t a reply stop my sequence?

The usual reasons: the mailbox is connected over SMTP, which doesn’t sync replies; the reply was an automatic out-of-office message, which never counts as a reply; or the person wrote to a different address instead of replying, and SalesScope only matches replies in the mailbox that sent the email.

Does SalesScope check that a mailbox exists?

It checks the address and its domain, not the mailbox itself: syntax, typos, disposable and role addresses, whether the domain has working mail servers, and your workspace’s own bounce history. It doesn’t probe mailboxes over SMTP, so it can’t promise that a specific inbox exists.

How do I cancel my plan?

An admin opens Billing, presses Manage billing and cancels in Stripe’s billing portal. The plan runs to the end of the period already paid for, and nothing is deleted.

What happens if a payment fails?

A 7-day grace period starts while Stripe retries the payment, and everything keeps working. Update your card under Manage billing to settle it. After 7 days the account is locked: sending pauses and nothing new can be added, but nothing is deleted, and everything resumes once the payment goes through.
