Team management

Sales team management with roles and sending policies

Sales team management in SalesScope gives every rep their own book and every admin the controls: three roles enforced in the database, company-wide sending policies, per-person caps and a record of who changed what.

  • Admin, manager and member roles
  • Company switches bind admins too
  • Every policy change on the record

Roles and permissions

Roles and permissions enforced in the database

Every table sits behind row-level security keyed on workspace membership, so a role is a rule the database applies, not a button the interface hides.

Admin

Runs the company: people, roles and settings, every pipeline and the admin console.

Manager

Sees every lead in the workspace, hands leads out and works the team’s pipeline, but can’t change who has access.

Member

Works their own pipeline: the leads assigned to them, and nobody else’s.

Private mailboxes

Replies belong to whoever owns the mailbox they arrived in. Only its owner or an admin can answer from it.

Clean handovers

Remove someone and their leads, calls, sequences and mailboxes go to the colleague you name. Or move a book without removing anyone.

Invites with a role

Invite by email as an admin, manager or member. Each link works for 14 days and can be copied if you’d rather send it yourself.

Sending policies

Sending policies one admin sets for everyone

The Policy page holds the rules your whole team sends under: the warm-up ramp, the bounce limit, the Google Workspace ceiling, company sending hours and per-person caps. A change applies to the next send, for every mailbox, and goes on the record with what it was before.

  • Warm-up start (5–300) and ceiling (50–2,000) for every mailbox
  • Bounce limit, mailbox cooldown and minimum sample
  • Company sending hours that no sequence can widen
  • Lock mailbox limits, sending hours and pacing for reps
  • Above an audience size you choose, only an admin can launch a sequence

Multiple workspaces

Multiple workspaces on one bill

On the Company plan, an organization can run a separate workspace for each team, brand or client, all on one bill. Contacts, mailboxes, sequences and settings stay inside their workspace, and a rep who works in more than one switches between them from the header.

  • Unlimited workspaces on the Company plan
  • Billed per person, from 10 seats
  • Rows can’t point across workspaces, enforced in the database
  • One plan and one bill for the whole organization

Company switches

Switches that bind everyone, admins included

Each switch is on or off for the whole company. An admin who turns one off is bound by it too, and can turn it back on from the console.

SwitchWhen it is off
ExportThe Export button disappears for everyone, and every export is written to the record. A rep can still read their own leads, so treat it as a deterrent and a paper trail rather than a lock.
ImportThe import wizard is blocked in the browser and in the database. Typing a lead into the sheet by hand still works.
DeleteThe database refuses to delete leads, however the request is made and whoever makes it.
SendSequences, the dialer’s quick email and Inbox replies are refused on the server. Sequences can still be written and edited; they just don’t send.
Stop all sendingThe emergency stop on the admin Overview halts everything going out at once. Nothing is cancelled, and sending carries on from where it stopped when it is turned back on.
How it works

Setting up a sales team

Invite people with a role

Send invites as admin, manager or member. Each link works for 14 days; copy it if you’d rather send it yourself.

Share out the leads

Assign owners as you go, or share every unowned lead out round-robin across the people you choose, in one press.

Set the rules

Choose the warm-up, the bounce limit, sending hours, per-person caps and which settings reps may change for themselves.

Watch and adjust

The admin console shows every mailbox, every running sequence and each person’s activity, and records every change.

Managing a sales team in an outbound tool

Sales team management in an outbound tool comes down to three questions: who can see which leads, what each person is allowed to send, and how you find out what happened afterward. Spreadsheets and shared mailboxes answer none of them, which is why outbound teams outgrow them.

Roles and permissions

Start with visibility. Reps work better with a book that is theirs, and a company is safer when a rep can’t download everyone else’s. SalesScope has three roles. Members see only the leads assigned to them. Managers see every lead and hand leads out, but can’t change who has access. Admins run the company. The rules are enforced by row-level security in the database, so they hold however the data is requested.

Sending policies

Every mailbox on a team shares in the reputation of the domains it sends from, so the rules for sending belong to the company rather than to each rep. SalesScope’s Policy page sets the warm-up ramp, the bounce limit that puts a mailbox on hold and pauses its sequences, the Google Workspace ceiling, company sending hours that no sequence can widen, and a daily cap per person across all of their mailboxes. An admin can also lock mailbox limits, sending hours and pacing so reps can’t change them, and require an admin to launch any sequence above an audience size. See email deliverability for how the limits work, and the Gmail sending limits guide for the provider numbers behind them.

People coming and going

When someone leaves, their work shouldn’t leave with them. Removing a person from a SalesScope workspace hands their leads, calls, sequences and mailboxes to a colleague you name, or keeps them for admins with sending paused. For holiday cover or a territory change, an admin can move a rep’s book to someone else without removing anyone. Suspending someone keeps everything they own and simply stops them signing in, and an admin can sign a person out of every device.

A record of who did what

Role changes, removals, suspensions, sending policy changes, exports, deletes and restores are written to the admin console’s Record, with the value before and after where there is one. An admin can even open one rep’s book, read-only, from their record — and that look is recorded too. The record filters by kind of change and downloads as CSV.

Several teams, brands or clients

Agencies and companies with separate teams can keep each in its own workspace on the Company plan, on one bill. Read more about SalesScope for sales teams and for agencies, or compare plans on the pricing page.

FAQ

Frequently asked questions

What can each role do?

Admins run the company: people, roles, settings, every pipeline and the admin console. Managers see every lead in the workspace, hand leads out and work the team’s pipeline, but can’t change who has access. Members work only the leads assigned to them. The rules are enforced by row-level security in the database, not just hidden in the interface.

Can an admin limit how much each rep sends?

Yes. An admin can set a daily cap for each person that applies across all of their mailboxes, or hold a person’s sending entirely. For the whole company, the Policy page sets the warm-up ramp, the bounce limit, the Google Workspace ceiling and sending hours, and can lock mailbox limits, sending hours and pacing so reps can’t change them.

What happens to a rep’s leads when they leave?

When you remove someone, you name the colleague who takes over their leads, calls, sequences and mailboxes. If you name nobody, their work is kept for admins and their sending pauses. You can also move a rep’s book to someone else without removing them, for holiday cover or a territory change.

Is there an audit log?

Yes. The admin console’s Record lists who did what and when — role changes, removals, suspensions, sending policy changes, exports, deletes and restores — with the value before and after where there is one. It can be filtered by kind of change and downloaded as CSV.

Can we keep several teams or clients separate?

Yes, on the Company plan. An organization can hold as many workspaces as it needs — one per team, brand or client — on one bill, billed per person from 10 seats. Each workspace keeps its own contacts, mailboxes, sequences and settings, and a rep who works in more than one switches between them from the header.

One sheet. Every lead. Every follow-up.

Bring your contacts, connect your mailboxes, and let SalesScope keep the sending safe while your team works the replies.
