Unified inbox

A unified inbox for sales replies, matched to every contact

SalesScope’s unified inbox reads replies, bounces and auto-replies from the Gmail, Google Workspace, Outlook.com and Microsoft 365 mailboxes you connect, stops the right sequences and puts every real reply from all of your mailboxes in one place — with the whole conversation and a box to answer it.

  • A reply stops that contact’s sequences
  • Out-of-office never counts as a reply
  • Opt-outs stop the person everywhere

Hi Alex — sounds interesting. We’re rebuilding our carrier process this quarter. Can we talk Thursday afternoon?

Reply detection

Reply detection that knows a reply from an out-of-office

The sync reads only what matters to your outreach and leaves the rest of your mailbox alone.

Matched to the email they answer

Each reply is matched to the email it answers by its message headers and its Gmail thread or Outlook conversation, so it lands on the right contact and stops the right sequence.

Auto-replies set aside

Out-of-office messages are recognized and kept out of the Inbox, and they never count as a reply.

Bounces handled

A bounce notice suppresses the address, flags the contact and stops their sequences.

Every mailbox in one list

Replies from all of your connected mailboxes in one list, with All, Unread and Read tabs and a filter for each mailbox.

Answer in the thread

Reply from the Inbox and the answer goes out from the mailbox the message arrived on, in the same thread.

Private by mailbox

A message belongs to whoever owns the mailbox it arrived in. Admins can see the whole workspace.

Cold email replies

Cold email replies stop the sequence, not the conversation

When someone answers, their sequences stop before the next step goes, and the reply appears on the contact’s timeline beside the email it answers. The rep picks up the conversation from the Inbox, in the same thread.

  • A reply stops every sequence the person is in
  • A booked meeting can end every remaining step
  • Sync starts when a mailbox connects; old mail isn’t imported
  • Nothing but replies, bounces and auto-replies is stored

Unsubscribe handling

Unsubscribes and “remove me” replies, handled for you

Every campaign email carries a visible unsubscribe link and one-click List-Unsubscribe headers. An unsubscribe, a complaint or a reply that plainly asks to be removed stops the person in every sequence, at every address. A reply that only might be a request is held for a person to decide.

  • A possible opt-out holds that person’s emails until someone decides
  • Confirm or dismiss it with one click
  • A suppressed address stops everywhere in the workspace
  • Admins see why an address was suppressed and can allow it again, with a note

What the Inbox shows, and what it leaves alone

The Inbox shows

  • Replies to email sent from SalesScope
  • The whole conversation, both directions
  • Which mailbox and contact each reply belongs to
  • Possible opt-outs waiting for a decision

It leaves alone

  • The rest of your mailbox — nothing else is stored
  • Mail from before you connected — there is no backfill
  • Auto-replies, which are recorded but not listed
  • Replies to SMTP-sent mail, which isn’t synced
How it works

From reply to answer

Connect a mailbox

Sign in with Google for Gmail or Google Workspace, or with Microsoft for Outlook.com or Microsoft 365. Sync starts from that moment; older mail is never imported.

Replies are read and matched

SalesScope reads new mail in the background, keeps only the replies, bounces and auto-replies to what you sent, and matches each one to its contact.

Sequences react

A reply stops the contact’s sequences; a bounce or an opt-out stops them and suppresses the address.

You answer

Open the reply in the Inbox, read the thread and answer from the same mailbox, in the same thread.

What a unified inbox for sales should do

A unified inbox for sales collects the replies from every mailbox you send from into one place, so you don’t have to sign in to five Gmail or Outlook accounts to see who answered. In SalesScope it is one inbox across all of your own mailboxes, not a shared team inbox: each person sees the mail in the mailboxes they own, and admins see every mailbox in the workspace. For cold email it has a second job that matters as much: telling the sending side what happened, so the next follow-up never goes to someone who already replied, bounced or asked to be left alone.

Reply detection

Detecting a reply sounds simple until the auto-replies arrive. An out-of-office message is technically a response, but treating it as one would stop a sequence for everyone on holiday. SalesScope matches each incoming message to the email it answers, using its headers and the Gmail thread or Outlook conversation, records auto-replies separately and counts only real replies. Those stop the person’s sequences and land in the Inbox.

Bounces

A bounce is mail too. The sync reads delivery failure notices, works out which recipient failed, suppresses that address across the workspace and stops the contact’s sequences, so the same dead address never costs a second send. If a bounce says the whole domain is gone, the domain’s other addresses are held out of bulk sends; see email verification.

Unsubscribe handling

People opt out in three ways: the link in the footer, the unsubscribe button their mail app shows from the one-click List-Unsubscribe header (RFC 8058), and a reply saying “please remove me”. SalesScope honors all three. A clear request stops the person in every sequence at every address; a reply that only might be a request holds their emails until a rep confirms or dismisses it. Requirements differ by country, and the cold email compliance guide covers the main rules. It is general information, not legal advice.

Limits worth knowing

The Inbox reads Gmail, Google Workspace, Outlook.com and Microsoft 365 mailboxes, and a reply is matched only in the mailbox that sent the email. Mailboxes connected over SMTP send but don’t sync, so replies to mail sent over SMTP aren’t detected: they don’t reach the Inbox or stop sequences. Sync starts when a mailbox connects, and nothing but the replies, bounces and auto-replies to your outreach is stored. Replies feed the reply rates in sales analytics and sit on each contact in the spreadsheet CRM.

FAQ

Frequently asked questions

Which mailboxes does the Inbox read?

Gmail and Google Workspace mailboxes connected by signing in with Google, and Outlook.com and Microsoft 365 mailboxes connected by signing in with Microsoft. SalesScope asks the provider for permission to send as you and to read your mailbox so it can find replies, bounces and auto-replies to what you sent; it stores only those. Microsoft’s permission also lets it save each email as a draft before sending it. A reply is matched only in the mailbox that sent the email, so replies to mail sent from an SMTP mailbox aren’t detected.

Does an out-of-office reply stop a sequence?

No. Auto-replies are recognized and recorded separately. They never count as a reply, so they don’t stop a sequence and don’t appear in the Inbox list.

What happens when someone asks to be removed?

A reply that is plainly a request — “Please remove me from your list”, “Unsubscribe” — unsubscribes the address that wrote it and stops the person in every sequence, at every address they have. A reply that only reads like one is held for review: that person’s emails wait until someone confirms the opt-out or dismisses it, with one click either way.

Can my team see each other’s replies?

A message belongs to whoever owns the mailbox it arrived in. Reps see the replies in their own mailboxes, and admins see the whole workspace. An answer goes out from the mailbox the message arrived on, so only its owner or an admin can send it.

Can I answer a reply without leaving SalesScope?

Yes. Open the reply in the Inbox to see the whole conversation and answer it there. The answer goes out from the same mailbox, in the same thread, and counts toward that mailbox’s day. Warm-up and your team’s caps don’t hold a reply back; only the provider’s own limits or a company-wide stop can.

One sheet. Every lead. Every follow-up.

Bring your contacts, connect your mailboxes, and let SalesScope keep the sending safe while your team works the replies.
